UK Identity Verification and Provider Disclosure

Last updated: August 1, 2026

Version: 1.0

Effective date: August 1, 2026

This disclosure explains how identity verification works on every UK Order, who does it, and what Formpreneur does and does not see. It is shown to you before payment and forms part of the Terms of Service.

It applies to UK company formation and to UK address services alike, and should be read with the UK Company Formation Services Addendum and the UK Registered Office and Director Service Address Addendum.

This document was drafted from Formpreneur's internal product requirements and is pending external legal review. Nothing in it limits a mandatory right that cannot legally be waived.

1. Verification is mandatory, not optional

Identity verification is a condition of every UK service we sell. There is no version of the product without it, and no fee that removes it.

It exists because UK law and our providers require it: Companies House verification rules for company officers, and the anti-money-laundering obligations that apply to the providers who file for you and who supply statutory addresses.

If you are not willing to complete verification, do not place the Order. An Order that stalls because verification was never completed is refunded under the stage reached, not in full — see the Refund and Cancellation Policy.

2. The provider contacts you directly, under its own name

Verification is performed by an independent provider, not by Formpreneur. That provider will contact you directly, at the email address on your Order, to start the check.

That message will carry the provider's own branding, sender name and domain — not Formpreneur's. This is expected and it is not a phishing attempt. Formpreneur tells you at checkout which provider will contact you, and your dashboard shows the same name while the check is open.

If a message asks you to verify your identity and the name on it is not the provider we told you to expect, do not act on it. Forward it to [email protected] and check your dashboard, which is always authoritative about what your Order actually needs.

Verification links expire. If yours has, ask us to request a new one rather than following an old link.

3. What Formpreneur never receives

You submit your identity evidence to the provider, through the provider's own channel. It does not pass through Formpreneur.

Formpreneur does not receive, store, or have access to:

  • images or scans of your passport, national identity card or driving licence;
  • selfies, liveness video or biometric templates;
  • the raw output of any document-authenticity or facial-similarity check;
  • any underlying identity media of any kind.

What Formpreneur does hold about the check is limited to what we need to run your Order: the provider's reference for it, its status, the date it changed, and where the provider gives one, a reason code for a failure. Those are the fields our staff can see.

Separately from verification, and as part of the filing itself, Formpreneur does hold the full date of birth and residential address you give for the register. Those are held encrypted, are restricted to the staff who need them, and every access is recorded. See the Privacy Policy.

4. Never send identity documents to Formpreneur

Do not send passport scans, identity cards, driving licences, selfies or any other identity media to [email protected], to a support ticket, to a chat message, or to any other Formpreneur channel.

Our support channels are not built to receive that material and using them for it does not advance your verification — the provider will still not have what it needs.

Where identity media reaches us anyway, we delete it and tell you that we have. We do not forward it to the provider on your behalf, because the provider needs it through its own verified channel for the check to count.

5. The provider makes the decision, and we cannot overturn it

The provider decides whether verification has passed, and makes any anti-money-laundering assessment that follows. Formpreneur does not make that decision, cannot appeal it on your behalf as of right, and cannot instruct the provider to accept you.

The provider may:

  • ask you for further evidence, more than once;
  • ask you to repeat a step that failed for a technical reason;
  • decline to verify you without giving a detailed reason, where the law restricts what it may disclose;
  • decline to act for you at all.

Where the provider gives us a reason we may lawfully pass on, we will. Where it does not, we can only tell you that the check did not pass. This is a legal constraint on the provider, not reticence on our part.

6. What a failed or incomplete check does to your Order

Nothing is filed and no statutory address activates until verification has passed. A check that is incomplete or has failed has direct consequences for the Order:

What happenedWhat happens to the Order
You have not started, or have not finished, the checkThe Order pauses and waits for you. We will remind you. Nothing is filed.
The check failed for a fixable reasonThe provider may allow a retry. The Order stays open while you retry.
The check failed and cannot be retriedThe Order cannot be completed. It is cancelled and refunded under the stage reached.
The provider declines to act for youSame as above: the Order ends, and only the recoverable balance is refundable.

A verification cost the provider has already incurred is not recoverable by us and therefore not refundable to you, even where the outcome was a failure. That is why verification sits in refund stage three.

7. The provider's own terms and privacy notice apply

When you deal with the verification provider, that provider's own terms of service and privacy notice govern your relationship with it. They apply in addition to Formpreneur's, and we do not control them.

You may be required to accept them directly before the check can begin. Formpreneur records which provider terms and which version were displayed to you at checkout, so that there is a record of what you were shown.

The provider may retain its own copy of what you gave it, for the period its own legal obligations require, even after Formpreneur has deleted everything Formpreneur held. Deleting your Formpreneur account does not delete the provider's records, and we cannot delete them for you. Requests about the provider's records go to the provider.

8. Who is responsible for what

The parties involved in a UK Order do not all play the same data-protection role, and it would be misleading to describe them all as our processors:

PartyRole
FormpreneurController for your account, Order, support history, provider selection and platform operation.
Verification and formation providerActs in its own right for the statutory verification and anti-money-laundering work the law places on it, and under our instruction for the filing itself.
Address and mail providerActs under our instruction for handling statutory correspondence, and in its own right where its own compliance obligations apply.
Companies House and HM Revenue & CustomsPublic authorities receiving information under statute. Independent of us and of each other.

These roles are being confirmed against each provider's contract before UK launch, and this section will be updated where a contract shows a different allocation.

9. Where your information is accessed from

Formpreneur staff access account and Order information from Türkiye, the United Kingdom and the United Arab Emirates, under the safeguards described in the Privacy Policy.

We do not claim, and you should not assume, that your information stays inside the United Kingdom or the European Economic Area.

Restricted fields — the full date of birth, the residential address, the company's Unique Taxpayer Reference and the Companies House authentication code — are encrypted at rest, are visible only to staff whose role requires them, and every access is recorded in an audit log.

10. Questions about verification

Write to [email protected] with your account email and Order number — and nothing else attached.

For questions about how the provider handled your evidence, what it retained, or its decision, contact the provider directly using the details in the message it sent you.
